Privacy Policy

Last updated: November 3, 2025

Look, we get it - nobody really enjoys reading these things. But here at Blightwyrm Realm, we're pretty serious about protecting your info. So we've tried to make this as straightforward as possible. Think of it as our sacred vow to keep your data safe within our realm.

When you book a stay with us or just browse around our enchanted corner of the web, we might collect a few things:

  • Personal Details: Your name, email, phone number, and address. Y'know, the basics so we can actually confirm your reservation and reach you if a dragon steals your room key.
  • Payment Info: Credit card details, billing address - all the stuff we need to process your booking. Don't worry, this is encrypted tighter than a dragon's treasure vault.
  • Preferences: Room choices, dietary restrictions, special requests like "please put extra candles in the chamber" or "I'm allergic to enchanted roses."
  • Technical Data: IP address, browser type, device info - basically the digital footprints you leave when visiting our site. Nothing creepy, just standard website analytics.
  • Communication Records: Emails, calls, messages - we keep these so we can remember what you asked for and actually deliver on it.

We're not in the business of selling your data to sketchy third parties. Here's what we actually do with it:

  • Process Reservations: Can't really run a hotel without this one. We use your info to confirm bookings, handle payments, and prepare your suite.
  • Improve Your Experience: Remembering your preferences helps us make your next visit even better. Like knowing you prefer the north tower view or that you're a vegetarian.
  • Communication: Sending booking confirmations, answering questions, sharing updates about your stay. We won't spam you with nonsense.
  • Legal Compliance: Sometimes we gotta keep records for tax purposes or other legal requirements. Not exciting, but necessary.
  • Marketing: If you've opted in, we'll occasionally send you special offers or news about events. You can unsubscribe anytime - no hard feelings.
  • Site Improvements: Analytics help us understand what works and what doesn't, so we can make the website better.

Security isn't just a buzzword for us - it's kinda essential when you're handling people's payment info and personal details.

  • Encryption: All payment transactions are encrypted using industry-standard SSL technology. Think of it as an invisible shield around your data.
  • Limited Access: Only authorized staff members can access guest information, and they're trained on privacy protocols. Not everyone gets the keys to the kingdom.
  • Secure Servers: Your data is stored on protected servers with firewalls and regular security audits. We take this stuff seriously.
  • Regular Updates: We keep our systems current with the latest security patches and protocols.
  • No Public Wi-Fi for Sensitive Stuff: We never process payments or access guest data over unsecured networks.

That said, no system is 100% foolproof. We do our absolute best, but if you ever notice anything suspicious, let us know immediately.

Yep, we use cookies. Not the delicious kind from our banquet hall, but the digital ones that help our website function properly.

  • Essential Cookies: These keep the site running smoothly - things like remembering what's in your booking cart or keeping you logged in.
  • Analytics Cookies: Help us understand how visitors use the site so we can make improvements. We use tools like Google Analytics for this.
  • Preference Cookies: Remember your choices like language settings or display preferences.
  • Marketing Cookies: Track whether you've seen certain promotions so we don't bombard you with the same ad repeatedly.

Most browsers let you control cookies through their settings. You can refuse them, but heads up - some parts of the site might not work as smoothly.

We're not gonna sell your email to random companies. But there are a few situations where we might need to share your info:

  • Service Providers: Payment processors, booking platforms, email services - basically the tools we need to operate. They're all bound by strict confidentiality agreements.
  • Legal Requirements: If the law requires it or we need to protect our rights, prevent fraud, or respond to legal processes.
  • Business Transfers: In the unlikely event we sell the hotel or merge with another company, your info would transfer to the new owners (but they'd still have to follow this policy).
  • With Your Consent: If you've explicitly agreed to share your info for something specific, like entering a contest or participating in a partner promotion.

That's pretty much it. We don't hand out guest information to marketers or sell mailing lists. Your privacy matters to us.

Under Canadian privacy laws (and just basic decency), you've got several rights when it comes to your personal data:

  • Access: You can ask to see what personal information we have about you. We'll provide it within a reasonable timeframe.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? We can do that, unless we're legally required to keep it for accounting or other purposes.
  • Opt-Out: Don't want marketing emails? Click unsubscribe or contact us. You'll still get essential booking confirmations though.
  • Data Portability: You can request a copy of your data in a commonly used format if you want to transfer it elsewhere.
  • Withdraw Consent: If you've given consent for something specific, you can withdraw it anytime.

To exercise any of these rights, just reach out to us at reservations@blightwyrmrealm.info or call (604) 555-9237. We'll get back to you promptly.

Our services aren't really directed at children under 13, and we don't knowingly collect their personal information without parental consent.

If you're booking a family stay and your kids will be joining you, that's totally fine - but the reservation should be made by an adult. If we discover we've accidentally collected info from a child under 13 without proper consent, we'll delete it as soon as possible.

Parents or guardians who believe we might have info about their child can contact us, and we'll sort it out quickly.

Our website might include links to third-party sites - maybe local attractions in Whistler, partner businesses, or booking platforms. Once you click those links, you're leaving our realm and entering theirs.

We can't control what those sites do with your information, so we encourage you to read their privacy policies. We're not responsible for the content or practices of external sites, even if we've linked to them.

That said, we try to only link to reputable sources. But when in doubt, check their policies before sharing personal info.

We don't keep your data forever - that'd be weird and unnecessary. Here's generally how long we hold onto different types of information:

  • Booking Records: We keep these for about 7 years after your stay, mainly for accounting and tax purposes. Canadian law requires it.
  • Marketing Data: If you're on our mailing list, we keep that info until you unsubscribe or we haven't heard from you in a really long time (usually 3-5 years of inactivity).
  • Payment Information: Credit card details are processed securely and not stored on our servers long-term. Our payment processor handles that with proper encryption.
  • Website Analytics: Usually aggregated and anonymized data that we keep for a couple years to track trends.
  • Communication Records: Emails and messages are typically kept for 2-3 years unless there's a specific reason to retain them longer.

Once the retention period is up and there's no legal reason to keep the data, we securely delete or anonymize it.

Privacy laws evolve, our business grows, and sometimes we need to update this policy. When we do make changes, we'll post the updated version here with a new "last updated" date at the top.

For major changes that significantly affect how we handle your data, we'll try to notify you directly via email or with a prominent notice on our website. But honestly, it's a good idea to check back here occasionally anyway.

By continuing to use our services after changes are posted, you're accepting the updated policy. If you don't agree with the changes, you can always reach out to discuss concerns or stop using our services.

Got questions about this privacy policy? Concerned about how we're handling your data? Just want to chat about privacy stuff? We're here for it.

Reach out to us:

We'll respond to privacy inquiries as quickly as possible - usually within a few business days. If your request is complex, it might take a bit longer, but we'll keep you updated.

If you're not satisfied with our response, you also have the right to file a complaint with the Office of the Privacy Commissioner of Canada.

Still Have Questions?

We know legal documents can be confusing. If anything isn't clear or you need more details about how we handle your information, don't hesitate to ask. We'd rather you understand this stuff than just scroll past it.
